Standard Production Times
Standard production times vary by product and are available on all catalog quantity orders. Seasonal fluctuations and size of order may affect production times. Production time begins after all proofs and clarifications have been answered.
We accept high-quality laser prints, digital art on flash drive, or an e-mail (preferred method). Artwork should not need any additional touch-up, design, color separation, or rearranging for use. Halftones, screens, and shades of gray are not available on screen-printed and heat-transfer imprints.

Licensed Artwork
Koozie Group assumes no responsibility for determining the proper ownership or proper use of trademarks, logos, and trade names. All liabilities of this nature rest with the Customer. By placing an order with Koozie Group, you represent and warrant that you have the authority to order, purchase, and distribute merchandise containing the names, trademarks, logos, copyrights, etc. identified in your order. Factory reserves the right to make slight alterations in copy and logos to adapt to the imprinting process.
Please Note: Koozie Group reserves the right not to print any logo or message that is deemed inappropriate.

Electronic Artwork
Artwork will be accepted digitally from the following programs:

- Adobe Illustrator® CC—with preferred format saved as PDF.
- Photoshop® bitmap images (B&W) should be at least 1200 DPI to size for product being ordered. Color images should be in CMYK color space at least 300 DPI to size for product being ordered.
- InDesign®—include all linked files needed for output. Also include a PDF file saved for press quality output.
- For personalization (select items), submit list of names with the following file extensions: Excel®: .xls or Comma Delimited Text: .csv
- Note: there is a 1/16" variance on all Souvenir® Sticky Note™ items when cutting the final product.
- Fonts should be outlined
- E-mail Artwork: Artwork should be submitted with the order. Please include ONLY the purchase order number in the subject line of the e-mail. Multiple files should be compressed in either .zip or .sit format. The file size limitation when sent via e-mail is 10MB. Artwork can also be transferred directly to us via our website.
Vector Art
We recommend using vector art because it produces the highest quality artwork. It is “resolution-independent,” which means it can be enlarged without affecting the quality of your imprint. Please be sure to outline all fonts when submitting vector artwork to avoid the fonts defaulting.
Raster Art (Placed/Continuous Tone Images)
Raster Art is “resolution-dependent.” When you change the size of an imprint, you change its quality. This means that the resolution (DPI) of your file is critical. Files must be at least 300 DPI at 100% of final size. Grayscale images and bitmaps must be 1200 DPI. Do not submit files with linked images. Please embed all graphics. Raster Artwork will be accepted in Photoshop® format (black-and-white .tiff, .pict, .jpeg files scanned or created at 1200 DPI [high resolution] and at approximately the actual size of the imprint area).
Vector images can be scaled infinitely without loss of clarity or degradation of image quality.
Raster images are based on pixels, so they scale with a loss of clarity.
Hard-Copy Artwork
If electronic art is not available, please provide sharp, high-contrast, color-separated or black-and-white artwork. Artwork will be returned upon request; otherwise, it will be discarded.
Typesetting
We can add text to your imprint at no additional charge. Choose from our stock typestyles shown below and send a TYPEWRITTEN version of the text, specifying typeface, point size, and case (see example below). When typestyles are not specified, our typesetters will set your copy for the best effect. Your copy must be at least the minimum point size required for each product.
Script fonts are only legible when set in upper/ lower case.
Due to variances in product surfaces, some logos and geometric shapes may distort when printing on curved products.
Logos: Please refer to the website and templates to determine the product imprint requirements. Multiple logos can be submitted.

Color Matching
We will match your imprint color to product trim color when requested. Simply request “match trim” as your imprint color. If a color is listed, we will attempt to match it as closely as possible. EXACT COLOR MATCH CANNOT BE GUARANTEED ON FULL-COLOR PROCESS ITEMS. For most products, stock imprint colors have been developed to match the product or complement it. Please refer to the General Information pages for each product line for additional information related to color matching.
Non-Standard Imprint Color Matching
The charge for nonstandard imprint color matching is $35(G). Please specify the nonstandard color number. We will match to coated (C) Stock (example: 203 C). If sending a color swatch, we will match it as closely as possible. Exact color match cannot be guaranteed on full-color process, color fill, or foil-stamped products. Please call your distributor for more information.

Koozie Group is not responsible for the quality, accuracy, or usefulness of QR code operations or content. QR codes are most readable when printed on flat surfaces using a high-contract imprint (such as a white imprint on dark surfaces or black imprint on light surfaces). QR codes may not be readable when printed on coarse-weave materials or curved surfaces. For best results, the QR code should be black with a white border/background. A preproduction proof is recommended to test the functionality of the code.

ARTWORK
- Standard artwork requirements apply.
- For best imprint quality, images should be submitted in the same size as imprint areas or larger.
- Images smaller than imprint areas will be sized to fit proportionally into the imprint area and may cause the image to be cropped.
- Artwork file names in the spreadsheet must include extension types (for example: Beachbackground.jpg) and must exactly match actual file names (for example: Beachbackground.jpg).

- Personalization will default to template specified on kooziegroup.com.
- A personalization proof will be returned if requested.
- Koozie Group will not be held responsible for any errors in personalization data. The design service will not be used for enhancing, creating, or altering personalization data.
- Award orders for 25 pieces or less do not require an Excel® spreadsheet for personalization and will follow the current ordering process.

Copy Change
Free of charge. Catalog minimums apply per copy change. Half catalog minimum allowed with less than minimum charge on items that offer less than minimum. The logo, imprint color, and imprint location must remain the same. Some exclusions apply. Contact distributor for more information.
Imprint Color Change
Free of charge. Catalog minimums apply per imprint color change. Half catalog minimum allowed with less than minimum charge on items that offer less than minimum. Logo imprint and location must remain the same. Some exclusions apply. Not available on Calendar items.
Product Color Variance
Due to the nature of materials and variance in manufactured products, we cannot guarantee exact matches within orders or on repeat orders. Like-named colors in different materials may not be an exact color match. In our continuing effort to improve our products, we reserve the right to change specifications without notice.
Registration of Multicolor Designs
In multicolored designs where it becomes necessary to register one color next to another, there is the possibility of misregistration amounting from approximately 1/64"–1/16", depending on the size and shape of the item being imprinted. This tolerance meets industry standards and is considered acceptable.

Exact Quantity Shipments
Koozie Group ships exact quantities at no charge. This eliminates product shortages and charges for extra product.
Less Than Minimum Charge
All imprinted orders require minimum quantities as listed in the catalog. Less than minimum imprinted orders will be accepted with a $75(G) additional charge and an absolute minimum of half the catalog minimum quantity. Some exclusions apply, including select BIC®-branded products. Contact distributor for more information.
Item Color Assortments
Custom item color assortment is available on most products. Orders must include quantities per color, which need to be detailed on the PO (no default option available). Custom color assortment is available at any quantity to reach the opening order quantity. Artwork and imprint color must remain the same for the entire order. This option is not available on manufactured items (like calendars, sticky notes, and some writing instruments), kitted items, Factory Direct, or Universal Source®. Custom color assortments do not qualify for 24-Hour Service. Exceptions apply. Each product page will provide the details on custom color assortment availability.
Exact Reorders
We will keep your artwork for 24 months. When you reorder, please include the original invoice number or purchase order number along with complete order information (product, ink colors, size, etc.). Standard production time applies. Item, imprint method, and imprint location must be exactly the same as the original order. The setup charge will be waived on exact reorders (except for calendars).
Rush Services
We have many items available on 2-day standard production and our free 24-Hour Service. If you need a rush on an item not available on those programs, please reach out to customer service for additional options at no charge.

If you have special packaging needs such as shrink-wrapping, special inserts, or shipping combinations of Koozie Group® products in the same box, we will use commercially reasonable efforts to accommodate your request. Any order requiring special custom packing requires a $1,000 sales order minimum (product only, excluding freight and taxes). Keep in mind some special packaging requests may require additional time and may incur an additional charge. A custom pricing quote, including any additional lead time, will be provided.
Freight Terms
Applicable shipping and handling charges are added to the customer’s invoice. Please check our website for product-specific shipping information. Title to and risk of loss of the goods will be transferred to the customer at the time of pick up by the carrier, at which time our responsibility will cease. Koozie Group cannot assume responsibility for time delays in transit.
Standard Shipping
1. Catalog quantity orders will ship via our preferred carrier, ground service, unless another service is specified on your purchase order. Over catalog quantity and sample orders ship via Best Available Carrier.
2. Due to fluctuations in fuel prices, if surcharges or accessorial charges are incurred, these will be added to the existing Shipping and Handling charge.
3. Koozie Group reserves the right to change carrier and service level without notice.
4. Koozie Group will not be responsible for lost or damaged products or for the tracking of products shipped by U.S. Mail.
5. C.O.D. shipments not available.
Changes to Shipping Addresses/Shipping Methods
To be guaranteed, any changes to shipping address or shipping method must be submitted in writing 24 hours prior to the scheduled ship date and before the order has been processed for shipment.
Third-Party and Freight Collect
All third-party shipments ship EXW Factory. Insurance must be handled by the consignee. If any selected third-party freight collect fee gets charged back to Koozie Group, these charges will be billed separately to your third-party account. Koozie Group shall also invoice you for a third-party chargeback fee in the amount of $10(Z). If Koozie Group is unable to re-bill these amounts to your third-party account, Koozie Group will invoice you for the third-party freight collect fee at the applicable published rates, along with a $10(Z) third-party chargeback fee and any and all fees and costs associated therewith.
Freight Claims
Title passes from the factory upon consignment of merchandise to the carrier. For any lost or damaged shipments, Koozie Group is not responsible for filing carrier claims when orders are shipped using a customer’s 2nd/3rd party shipping account. All orders that require replacement in these situations are the responsibility of the customer who submitted the original order.
Drop Shipments
Shipments to multiple locations, all occurring at the same time, are free of charge up to 20 drop ship locations. Each location after 20 will incur an additional charge per location. Shipping and handling charges apply. A drop ship list must be provided on an Excel® spreadsheet with separate columns for the distributor, company name, purchase order number, Ship To name, address 1, address 2, city, state, zip, and quantity per drop. Drop ship addresses must be received prior to the start of production of the order for packaging accuracy.

Universal Source® Shipping
We offer FREE shipping on Universal Source® products via air method from the factory to any destination located in North America and Canada for all USBs. Shipping charges apply for domestically imprinted USB flash drives. Please call customer service for a quote.
Shipping charges do apply for select categories. Please call the factory for a quote. Please supply complete street address. Koozie Group cannot assume responsibility for time delays in transit. Our responsibility ceases when merchandise is delivered to the carrier.
International Shipping
For shipments outside the United States (including Puerto Rico), the declared value will be catalog pricing. For international shipments, the consignee is responsible for all taxes, duties, brokerage fees and miscellaneous charges related to the shipment. When shipping internationally, please contact customer service to ensure all proper documentation is provided on your purchase order that is required to avoid unnecessary order processing delays.
Certain products cannot ship outside the U.S. Visit kooziegroup.com for more details. Koozie Group is not responsible for delays in customs or delays caused by carriers for any product picked up and in transit. This includes all transportation modes such as ocean, air, express, and freight.
Koozie Group products are designed to meet the laws and standards of the markets in which they are offered for sale by Koozie Group. Customers wishing to ship products outside of those markets, whether shipped by Koozie Group or the Customer, assume the risk that the product or its ingredients may not meet the laws of the country of import.
Hazardous Materials/Dangerous Materials
Koozie Group is not responsible for any shipments of hazardous materials (dangerous goods) on your third-party account. Koozie Group’s responsibility ceases upon consignment of merchandise to the carrier. It is the responsibility of you, the third-party account owner, to comply with all federal hazardous material regulations. LTL shipments that are requested to ship third party can only ship via FedEx Freight, UPS Freight, or XPO. Power banks and hand sanitizers cannot be shipped via air.
By submitting a purchase order, the Customer agrees to these Terms & Conditions. In the event of a conflict between these Terms & Conditions and the terms and conditions in a Customer’s purchase order, these Terms & Conditions shall control.
Catalog Price Increases
When we finalize pricing, every effort is made to identify and project material cost increases from our suppliers. Where necessary, these increases are included in our current pricing. However, due to the volatility of our supply chain, we reserve the right to change catalog prices at any time without notice if necessary. If this is required, we will do everything we can to announce the changes ahead of time. We understand and regret the inconvenience this may cause you and your customers.
Order Acceptance
All orders are binding upon Koozie Group only after acceptance by Koozie Group.
Changes
Prices, terms and conditions, items and colors are subject to change or can be discontinued without notice.
Waiver of Proofs
Buyer is responsible for reviewing and approving all art proof(s) prior to initiation of production and understands that the order will print as it appears on the approved proof. Buyer may not make any changes once production begins. By submitting approval of the proof to Seller, Buyer assumes all responsibility for any imprint errors.
If Buyer waives the pre-production and/or virtual proof, Buyer authorizes Seller to print according to the originally submitted order. Buyer is solely responsible for any errors or omissions relating to, without limitation, the following: type, layout, images, logos, artwork, misspelled words, incorrect grammar or punctuation. Any additional costs incurred to fix these errors are Buyer’s responsibility and are not eligible to be re-run free of charge.
Cancellations
Changes will delay orders and must be authorized by Koozie Group. Changes to or cancellation of orders prior to production will be invoiced at a $55.00(G) minimum charge per change, plus all cost incurred before cancellation request is received at the factory. After production has been initiated, orders cannot be changed or canceled. Production time begins upon receipt of the complete order or after proof approval.
Authorized Returns
Merchandise found to be incorrect due to our error will be replaced at no charge when returned within 30 days of receipt of merchandise for orders under 10,000 Writing Instruments or 500 Hardgoods items. Hardgoods orders of 500 pieces or more and Writing Instrument orders of 10,000 or more found to be incorrect due to our error will be replaced at no charge when returned within 90 days. Authorization from Koozie Group is required prior to return of merchandise. Unauthorized returns will be refused and returned to sender at their expense plus a handling fee. See complete Claims Resolution Policy here. Un-imprinted products will be subject to a 20% restocking charge.
Artwork Return
Customer artwork, if available, will be returned if requested on the order. Include company name and purchase order number on all artwork. Examples of items that cannot be returned include letterhead, photocopies, or labels. Artwork will be held on a computer file for 24 months. Repeat orders submitted after that time will require new artwork. Art services provided by Koozie Group are created in a digital format which cannot be returned.
Catalog Illustrations
Logos and other imprints shown on kooziegroup.com are for illustrative purposes only. They do not imply endorsement, nor are any items with these specific logos for sale to anyone other than parties expressly authorized by the owner of such designs. Product colors shown throughout this catalog may vary slightly from actual products due to inherent limitations in photography, film separations, offset printing and plastic molding processes.

As to Customers placing orders with Koozie Group that contain custom die shapes, Koozie Group is and shall be the sole owner of all copyrights and other intellectual property rights now existing or hereafter coming into existence in and to any custom die shapes (subject to Customer’s copyright, if any, in its own underlying artwork). Customer shall have a limited, royalty-free non-sublicensable license to view any draft/proposal versions of a custom die shape provided by Koozie Group solely for the purpose of approving the product. Upon Koozie Group’s receipt of payment in full, Customer shall also have a perpetual, royalty-free license to display and redistribute the final tangible version of the product delivered by Koozie Group. However, unless otherwise agreed by Koozie Group in writing, no such product, whether in final form or draft/proposal form, may be reproduced, modified, adapted, published, printed, or used for a derivative work by Customer or any other party. All other rights are expressly reserved by Koozie Group.
Without limiting the generality of the foregoing, CUSTOMER ACKNOWLEDGES THAT COPYING OR PRINTING, OR CAUSING A THIRD PARTY TO COPY OR PRINT, ANY CUSTOM DIE SHAPE, ANY CUSTOM CALENDAR OR CREATING A CALENDAR WITH A SUBSTANTIALLY SIMILAR SELECTION, COORDINATION OR ARRANGEMENT, WITHOUT Koozie Group’s PRIOR WRITTEN CONSENT MAY CONSTITUTE COPYRIGHT INFRINGEMENT.
Authorization Indemnification
Koozie Group assumes no responsibility for determining the proper ownership or proper use of trademarks, logos, and trade names.
All liabilities of this nature rest with the Customer. By placing an order with Koozie Group, you represent and warrant that you have the authority to order, purchase, and distribute merchandise containing the names, trademarks, logos, copyrights, etc. identified in your order. You also agree to indemnify, defend, and hold harmless Koozie Group, its parent, subsidiaries and its affiliates and representatives, from and against all claims, liabilities, and expenses (including attorney’s fees) arising out of or related to any actual or alleged infringement or misappropriation of any trademark, copyright, or any other proprietary right of such merchandise. This provision will remain in effect after delivery of your order.

- Black ink will be supplied for all ballpoints and roller balls. Additional ink options are available on select products. Additional lead time may apply.
- Medium point will be supplied for ballpoints and rollers. Fine point will be supplied for BIC® Z4®+.
- Typestyle will be selected at factory discretion for best appearance.
- For two-piece Writing Instruments, the imprint/engraving will be horizontal and will use Layout A.
- Imprint location on BIC® Clic Stic® and WideBody® may vary slightly. A positioned imprint location is available upon request for an additional charge.
- If no Ship To address is provided, the order will be shipped to the distributor.

California Proposition 65
All of Koozie Group’s imprint inks and children’s products have been tested and found to comply with Prop 65 and CPSIA. All of Koozie Group’s product SKUs are Prop 65 compliant. The majority of products do not require a Prop 65 label when shipping to California. Koozie Group will add a Prop 65 label to these SKUs free of charge if they have a Ship To address in California.
CPSIA
Koozie Group products are designed, intended, and offered for sale as promotional products for corporate and business uses for advertising and promotional purposes. As such, they are “general use” products.
Certain products in this catalog may have a note stating that the product is CPSIA-compliant. Only products with this note are Children’s Products under the CPSIA. All other products are for adult or general purpose use.

Koozie Group reserves the right to accept or decline orders in its discretion where those orders are not consistent with or covered by this policy.
